Many businesses start AI adoption by asking which tool they should purchase. That is usually the wrong first question. A better starting point is: which repeated business process is consuming time or losing revenue?

Use four selection criteria

1. Repetition

Look for work that happens frequently and follows a recognizable pattern: copying lead information, drafting the same type of response, preparing weekly reports or reminding sales representatives about pending quotations.

2. Available information

Automation works best when the required inputs are clear and accessible. A process that depends on undocumented personal judgment is harder to automate safely than one based on standard fields and approved templates.

3. Manageable risk

Do not begin with an irreversible financial or legal decision. Start with low-risk assistance, drafts, routing, summaries or reminders. Keep a human approval step for important commitments.

4. Measurable value

Define the baseline before implementation. Useful measures include response time, follow-up completion, hours spent, error frequency, quotation turnaround and conversion between stages.

New lead → qualification → owner assignment → acknowledgement → reminder → dashboard.

This workflow is common, measurable and directly connected to revenue.

What not to automate first

  • Rare processes with no clear pattern
  • Work that depends on missing or poor-quality data
  • Sensitive decisions without review
  • Processes that are already changing every week
  • Tasks where the automation cost exceeds the likely value

Build the smallest useful version

The first implementation should solve one complete business problem from beginning to end. A small, reliable workflow that the team adopts is more valuable than a large system that nobody trusts.

Document ownership

Every automated process needs an owner. Define who monitors errors, approves sensitive outputs, updates templates, handles exceptions and reviews performance.
